Our “Scan2Knowledge” approach can be illustrated as follows :

There are 4 main modules in our knowledge transformation pipeline:

 

1. Scanning

Scanning : By the use of a scanner device or multi-functional printers (MFP) all paper documents are digitalized and saved on the network disc. Professional scanners have advanced features to optimalise the quality of the scan, double page detection, orientation correction, imprint, …

2. OCR & IDR

OCR & IDR : The digitalized picture of the paper documents are transformed into a searchable text documents. Our powerful OCR solutions automatically do the process of the scans at server level. The OCR engine is the most powerful one available on the market. We also provide the possibility to process full colour scans without the need for more storage. The generated searchable full colour document is “smaller” than the normal black&white version!. In automatisation projects barcodes are used or information is automatically captured out of the documents. We support both. Also the type of documents can be detected and specific information is extracted.

3. Archiving

Archiving : On the base of the data captured out of the document in the previous step (barcode, metadata) the documents can be automatically processed to store it in the archive or to launch a workflow. There is also version-control so that different version of a document can be traced (eg. contract send to client and the signed version send back by the client).
Document uploaded in the archive by users are processed in the same way. These ‘digital’ documents can by uploaded by a web-interface, external application using web services, … This supports the integration of digital archiving with existing applications and workflows

4. Retrieval & Viewing

Viewing / Searching : In the previous step information is stored in the digital archive. With the help of the user friendly but powerful search tools, information can be retrieved when needed. The documents are only accessible when one has the access rights. The search tool supports not only the search on the metadata but also on the full content of the documents.
With our powerful “Click&View” module a search can be launched from every MS Windows applications (Outlook, ERP, MS Office, …). A simple mouse click will launch a search into the archive for all relevant and related information. Also an automatic process can be launches (eg. searching all information related to a specific invoice). In an existing ERP application one can simply click on the invoice number and the original document will pop-up. This functionality is provided without any interference of the third party applications !

 

 

Summary : By a simple push on the “scan button” on the scanner the paper document is automatically transformed to a searchable document and made available through the digital archive for everyone whith the necessary access rights. Workflows can automatically be launched without any manual interference.
